Defining the problem
Documentation has inconsistent tone, voice, and style guide throughout existing product documentation for multiple product lines - in addition to out-of-date material.
This involved writing standard operating procedure manuals for contractors for a heating, ventilation, and air conditioning (HVAC) company. I worked with Subject Matter Experts (SMEs) across North America and with more than 70,000 employees worldwide.
I edited the content provided for over 25+ manuals to define best practices and document procedures for every step of the installation and operation process. The material was delivered both online, PDF download, and in printed saddle stitch hardcover.

The reduction of errors occurring on job sites with better-aligned documentation to help contractors understand and follow engineering written guidelines.
WHY?
The documentation should reflect the voice that the company has built over the years. Continuing to build the customers' confidence in the product with its competitive and inventive engineering amongst the rest, should also reflect in the documentation.
However, outdated or unclear information in the manuals has caused accidents on job sites. These costly mistakes not only cause damage to materials but also fall back on the company departments this information funnels through.

So the company continues to have a competitive edge, keeping continuous updates of accurate information promptly will increase customer satisfaction.

These drives include anything from images, renderings, forms, and various data needed for documentation. Migrating to SharePoint was used as a backup option to utilize the cloud storage. All tools have metadata tagging capabilities to ensure search engine optimization for both new and older documents that may have been missed.

InDesign is the best choice to design and publish multipage documents with precise grids to position page elements and create polished layouts.

Language
The decision on the language of choice for documentation is formal and informative which enhances knowledge and imparts information. Leaving out any extra unneeded words and not using "your" as if talking with someone personally.
Abbreviations
We should never assume that anyone looking at the documentation knows the abbreviated terms of products before providing the full product name first.

Future Outlook
To reduce the amount of old information that is printed in-between revisions and to reduce the cost of printed material, it would be beneficial to move all documentation to digital format.
QR Codes
Quick Response (QR) codes are capable of storing data that when scanned, the QR code allows the user to access information immediately. This is mostly done on any mobile device via the camera. No additional app is required.
A sticker with the QR code would be placed on units before shipping.
